User-Submitted Content Terms

These terms apply to everything you upload or submit to the Platform — photographs, video, capture sessions, documents, and the information you type into a form.

These documents have been prepared for the Atlas & Crown platform but have not yet been reviewed by qualified legal counsel. They are published for transparency, and several provisions — governing law, dispute resolution, liability caps, and statutory privacy rights — are expressly left unstated rather than asserted before that review. We would rather tell you that than imply a certainty we do not have.

1. What this covers

“Your content” means anything you submit, including:

  • Photographs and video of a watch, including guided capture sessions.
  • Serial numbers, reference numbers, and other identifying details.
  • Warranty cards, receipts, and purchase records.
  • Service documentation and repair records.
  • Correspondence with manufacturers, dealers, or service centers.
  • Historical photographs and archival material.
  • Ownership and provenance documentation.
  • Messages you send through the Platform, and anything you add to your profile.

3. The permissions we need

To operate the service on your behalf we need a limited, non-exclusive, royalty-free licence to host, store, copy, display, transmit, process, and adapt your content — but only for the purposes below, and only for as long as needed for them:

  • Carrying out authentication, evidence review, and examination.
  • Producing reports, certificates, and Registry entries.
  • Maintaining provenance, ownership, and audit records.
  • Providing the Platform to you and to the people you share a record with.
  • Security, fraud prevention, and the integrity of our records.
  • Customer support, and resolving disputes and complaints.
  • Complying with legal obligations that apply to us.
  • Backup, disaster recovery, and technical operation of the service.

Adaptation here means the ordinary technical processing an image needs — resizing, format conversion, cropping, annotating for an examination finding — not creative reuse.

Some records are necessarily durable: once an image forms part of an issued certificate, a report, or an audit record, it remains part of that record so the record stays intelligible and verifiable. See section 7.

4. What you confirm when you upload

By submitting content you confirm that:

  • You own it, or you otherwise have the rights and authority needed to submit it and to grant the permissions in section 3.
  • It is genuine and has not been forged or altered to mislead.
  • It does not infringe anyone’s copyright, trademark, privacy, or other rights.
  • You have any consent needed from other people who appear in it or are identified by it.
  • It does not contain malicious code, and is not unlawful, abusive, or defamatory.

5. Other people’s information

Documents relating to a watch often name other people — a previous owner on a receipt, a technician on a service record. Upload only what is relevant to the watch and its history, and redact what is not needed. Do not upload someone else’s identity documents or payment details.

6. How your uploads are handled

Uploads are private by default. Evidence files, documents, and provenance attachments are served through access-controlled routes rather than public URLs, and are visible to you, to the staff who need them for their work, and to anyone you deliberately share a record with.

Being attached to a certified watch does not make a file public. Nothing you upload appears in the public Registry unless publication is an explicit decision — see the Registry Terms.

7. Removing content

You can remove content you have added, subject to the durability rules that keep records meaningful. Content that forms part of an issued certificate, an authentication report, a completed transfer, or an audit record is retained as part of that record, and system-generated entries cannot be deleted from the account interface.

Where content is removed it may persist for a period in backups before it is overwritten in the ordinary course. See the Privacy Policy for retention.

8. Content we may remove

We may remove or restrict content that we reasonably believe is unlawful, forged, infringing, abusive, submitted without authority, or a risk to the integrity of our records. Where we do, we will tell the account holder unless we are prevented from doing so.
